— Speak up channel
Speaking up protects us all.
Your voice matters
We promote a responsible, ethical and professional corporate culture that complies with applicable national and international laws and regulations, as well as our internal policies and standards. To support this commitment, we have established an internal reporting system, through which concerns can be reported either online via the Whistleblower Channel or through an in-person meeting.
01 — Purpose, scope & protection
Speaking up supports ASV and our way of working
Employees and external stakeholders may use this channel to report, in good faith, any suspected irregularity, breach of applicable law or violation of Ajinomoto Group Policies (AGP). Reports can be submitted confidentially, including on an anonymous basis, and will be handled with respect for the rights of all parties involved and protection against retaliation.
Your Protection is guaranteed
- Reports may be submitted anonymously, and the identity of reporting persons is kept strictly confidential whenever disclosed.
- Strict prohibition of any form of retaliation, direct or indirect.
- Respect for the rights of all persons concerned, including privacy, the right to defence and the presumption of innocence.
- Impartial and objective handling of all reports, avoiding conflicts of interest.
02 — How to report & what happens next
A transparent process from submission to feedback
Once a report is submitted through the Whistleblower Channel, it undergoes an initial assessment to determine whether it falls within its scope. If the report is accepted, an internal review or investigation may be initiated. Throughout the process, additional information may be requested where necessary, and feedback will be provided to identified reporting persons.
What to expect after you submit
1. Submit your report
Through our online Whistleblower Channel — anonymously or identified — or via a confidential face-to-face meeting.
2. Acknowledgement of receipt
For identified reports, confirmation of receipt will be provided within 7 days of submission.
3. Initial assessment
Review of the report to determine whether it falls within the scope of the channel and whether further investigation is required.
4. Investigation & follow-up
An internal review or investigation will be initiated. Additional information may be requested from identified reporting persons where necessary.
5. Outcome & feedback
Information on the handling and outcome of the report will be provided to identified reporting persons within a maximum period of three months from the acknowledgement of receipt. This period may be extended by up to a further three months in duly justified cases of particular complexity.
GDPR & Data protection
The entire process for the reporting, handling and resolution of concerns submitted through the Whistleblower Channel is conducted in compliance with applicable legislation, ensuring the appropriate protection and handling of personal data throughout the process.
You always have the right to report directly to public authorities
Open dialogue is encouraged, and internal channels (online or in-person meeting) are the preferred way to raise concerns. However, if you believe there is a risk of retaliation or that your report may not be properly addressed, you also have the right to report directly to competent public authorities.
